Shutdown Notice Management

Manage system-wide shutdown notifications and maintenance windows.

Overview

The Shutdown Notice feature allows authorized administrators to schedule and manage system-wide shutdowns with advance notice to all users. This tool is essential for planned maintenance, emergency shutdowns, and system updates that require all users to be logged out.

Access Path:

  1. Log in with admin credentials
  2. Go to Admin in the header navigation
  3. Select 'Shutdown' from the admin menu

⚠️ Critical Warning: Shutdown notices affect ALL users on the platform and will forcibly log out users when the timer expires.

Access Control

The Shutdown Notice feature is restricted to users with elevated administrative privileges to prevent unauthorized system disruptions.

Authorized Roles

  • Business Admin: Can initiate and cancel shutdowns for their business organization
  • super_admin: Can initiate and cancel shutdowns across the entire platform

Note: The Shutdown option only appears in the admin menu for users with business-admin or super-admin roles.

The shutdown page displays the current system status and any active shutdown notices.

The status display updates in real-time to show whether a shutdown is active and provides relevant action buttons.

Shutdown Form

The shutdown form allows administrators to configure and initiate a system shutdown with customizable timing and messaging.

Form Components

This message can be customized to provide specific information about the shutdown reason.

Form Defaults:

  • Default timer: 5 minutes
  • Default shutdown message is provided
  • Both message and timer can be customized

Confirmation Modal

A confirmation modal appears when initiating a shutdown to prevent accidental activations.

Confirmation Requirements

  • Must type the exact phrase: 'I confirm the shutdown'
  • The confirmation is case-sensitive
  • OK button is only enabled when the phrase matches exactly

System Behavior After Activation

Once a shutdown is confirmed, the system implements several automated processes to ensure all users are properly notified and logged out.

Activation Process

  1. System-wide shutdown flag is activated
  2. Initiation timestamp and admin details are recorded
  3. Global notice banner is displayed to all users
  4. Countdown timer begins based on configured duration

When Countdown Expires

  • All AI bots automatically exit their sessions
  • All users are immediately logged out
  • Users are redirected to the login page
  • No user confirmation is required - logout is automatic

System-Wide Impact: This process affects every user and bot session across the entire platform simultaneously.

Canceling a Shutdown

Administrators can cancel an active shutdown at any time before the countdown expires.

Cancellation Process

  1. Click the 'Cancel Shutdown' button
  2. System shutdown flag is immediately cleared
  3. Global notice banner is removed from all interfaces
  4. Shutdown history is updated with cancellation timestamp

Immediate Effect: Cancellation takes effect immediately and normal operations resume.

The shutdown history table provides a complete log of all shutdown activities for audit and monitoring purposes.

Status Values

  • Active: Shutdown is currently pending
  • Completed: Shutdown occurred (timer expired)
  • Canceled: Shutdown was canceled by an administrator

  • Entries are sorted by most recent first
  • Full shutdown message is viewable on hover or expand
  • Optional filtering and search by date or user

Global Notice Display

When a shutdown is active, a persistent notice banner appears across all areas of the platform to ensure maximum visibility.

Notice Display Locations

  • All frontend application headers
  • All AI bot chat interfaces
  • Persistent across all pages and sections

Visibility: The notice is visible to all users regardless of their role or permissions.

Timing Recommendations

  • Provide at least 5 minutes advance notice
  • Consider longer notice periods during business hours
  • Coordinate timing with key stakeholders when possible

Message Guidelines

  • Use clear and concise language
  • Include shutdown reason when appropriate
  • Provide estimated duration if known
  • Include contact information for urgent issues

Emergency Procedures

  • Use immediate shutdown for critical security issues
  • Cancel shutdown if the underlying issue is resolved
  • Document all actions in the history log for audit purposes
